Beyond Arctic terms & conditions

1. General terms

By participating in or booking Beyond Arctic programs or any related products or services you agree to the terms and conditions set out below. The prices and services offered by Beyond Arctic are described in the specific program descriptions for each service separately. Language used during all our services is English.

2. Booking and confirmation

Once Beyond Arctic Oy has confirmed your booking the contract is made between Beyond Arctic and you. On Internet bookings, you will receive confirmation of your booking to your email.

3. Cancellations

In case of cancellation, you need to contact Beyond Arctic as soon as possible via email or phone. We will cancel your booking as we receive your request.

7 days prior to program – 10% booking charge held
2-6 days prior to program – 50 % of the reservation held as a charge.
0 - 24 hours prior to program – 100% of the reservation held as a charge

Group tours (9 or more persons)

21 days prior to program - Full refund
7-20 days prior to program - 50% of the reservation held as a charge.
6 days or less prior to program - No refund

Private holiday packages

30 days or more prior to program - Full refund, except 200€ booking fee held as a charge.
15-29 days prior to program - 50% of the reservation held as a charge.
14 days or less prior to program - No refund

In case of illness your reservation will be refunded after you have sent us a valid medical certificate. You must deliver the certificate to Beyond Arctic via email at the latest 14 days after cancellation of the booking. This does not apply for private bookings if someone from the group is able to participate in the activity.

Beyond Arctic has the right to cancel the program if the minimum count of participants specified in excursion description is not reached. If activity can't be organized because of limited snow conditions, Beyond Arctic has the right to modify the program and adapt it with the current weather and snow conditions.

4. Payment

We accept most common credit/debit cards and cash money (euro). The prices given by Beyond Arctic include VAT according to the taxation laws of Finland. Beyond Arctic reserves the right to change the prices if any extra costs occur.

5. Liability

During the adventures and tours Beyond Arctic follows appropriate health and safety regulations in accordance with laws and regulations as applicable in Finland. Standard guidelines recommended to practice in different program services are followed always when delivering services. Beyond Arctic can only be held liable for injuries and material damages during the delivery of the service that are caused by negligence of the company or employees or already broken equipment. Beyond Arctic cannot be held responsible for any accidental injuries or damages that are inhered under the customer's travel insurance.

6. Liability insurance

Beyond Arctic has general third-party liability insurance for bodily injuries and damaged property. The terms and conditions of liability insurance are conducted by LähiTapiola Oy.

7.   Insurance

Beyond Arctic exercises activities that can be located in remote areas and away from populated centres. It is highly recommended that you have personal travel insurance when joining our programs.

8. Safety

Beyond Arctic reserves the right to change or re-schedule the planned program if necessary. Due to bad weather conditions, extreme cold or other safety reasons Beyond Arctic has the right to cancel the program. In the event of cancellation your reservation will be fully refunded. Beyond Arctic reserves the right to discontinue a program if any participant is seen as a potential danger to him/herself or other participants. Taking part of our programs under influence of drugs or alcohol is strictly forbidden. If a participant is in poor health or is physically incapable of joining the program, Beyond Arctic may refuse participation in the program.

During the adventures and tours, we sometimes may use oil lamps or build an open fire. Beyond Arctic cannot be held responsible for any injuries or damaged valuables caused by fire or any other hot objects or oil lamps. By taking part to our programs, you understand these risks.

As a participant of our services, you shall acknowledge that the products and services organized by Beyond Arctic and services included in our partner tours may involve a significant amount of risk to customer´s health and safety. You acknowledge these potential risks to health and safety by taking part to our programs.

9. Responsibility

Beyond Arctic cannot be held responsible for any damage or disappearance of valuables during the programs. It is your responsibility to take good care of your belongings. As a participant in our programs, you are responsible for the equipment we provide and lend to you. If any damage is done on purpose or by accident or any equipment disappears during the program, Beyond Arctic reserves the right to charge the costs of caused damage from the participant.

10. Partner tours

Beyond Arctic also operates as a destination management organization and some of the activities sold in our website are organized by our trusted partners. Beyond Arctic is acting only as a selling agent of these activities and implementation is carried out by our local suppliers.

Some of the third-party products include separate cancellation terms conducted by local suppliers. These cancellation terms will replace the ones mentioned earlier in these terms & conditions. This takes place for example in husky activities, snowmobiling activities, and ice climbing activities.

Beyond Arctic has approved that all our partners are following appropriate health and safety regulations in accordance with laws and regulations as applicable in Finland. Beyond Arctic cannot be held liable for personal injuries or material damage arising from accidents that have happened during the delivery of the services which are provided by our local suppliers.

11. Snowmobiles in tours

Snowmobile tour participants are held liable for damages caused to snowmobiles. Driver´s vehicle damage self-liability is max. 990 € per snowmobile per incident. Payment is to be paid at the spot in safari operators house (Safartica Ltd.) by cash or credit card. The driver of the snowmobile must be at least 18 years of age and in possession of a valid driver’s license in Finland.

Finnish law prohibits driving a motor vehicle in under the influence of alcohol or any other intoxicating drug. As the responsible safari organizer, Beyond Arctic or snowmobile tour operator reserves the right to change the routing, schedules, duration or the content of the program, if necessary, due to prevailing weather conditions, safety reasons and the comfort of the participants. Beyond Arctic or snowmobile tour operator also reserves the right to interrupt the safari if a participant is seen as a potential danger to him/herself or to others or is in poor health. If the weather is -20C or below, snowmobile tour operator reserves the right to transfer the children to venues by car in our eSled tours.

12. Photos and videos

During Beyond Arctic programs guide sometimes takes photos of the nature, people and activities. Beyond Arctic reserves the right to use these photos for any marketing and business purposes without expressed written or oral permission. Any person desiring not to have photo taken of him/her or distributed must contact us through email: contact@beyondarctic.com

13. Force Majeure

Beyond Arctic cannot be held liable for losses caused by unavoidable and extraordinary circumstances which are not controlled by Beyond Arctic and which could have not been avoided. These circumstances Include for example natural disasters, war, air space restrictions, earthquakes, floods, extreme weather conditions, security threats like terrorism, risks to human health, pandemic, outbreak of serios disease and any other extraordinary circumstances that will interrupt the implementation of the services.

14. Applicable Law and Jurisdiction

These terms and conditions shall be governed by and construed in accordance with the Finnish Law. The Finnish Courts shall have the exclusive jurisdiction to settle any dispute, controversy or claim related to such a demand. The District Court of Lapland (in Finnish: Lapin Käräjäoikeus), placed in Rovaniemi, shall be the court of first instance.

15. Severability

If any part, term or provision of these terms and conditions is partly or wholly held invalid, illegal or unenforceable, the validity or enforceability of other provisions, extent part and remainder of these terms and conditions shall remain in full force and effect.

16. Changes to these terms & conditions

Beyond Arctic can change these terms and conditions at any time without further notice.
